European Social Science History Conference

The IISH organizes the ESSHC once every two years. The conference does not have a central theme and welcomes papers about all periods and subjects. The main objective of the conference is to introduce historians who use the insights and techniques from the social sciences to social scientists that focus on the past in their research and vice versa. Conference location is : "Bijloke", in the centre of Ghent.

A-Travel is the official housing agent for the ESSHC 4 and has blocked hotel rooms in all hotels in Ghent. Ghent is a small historic city whith limited hotel capacity, it will not be possible to accommodate all visitors in Ghent. For that reason we have also blocked hotel rooms in surrounding cities, such as Bruges, Brussels and others. Below you will find more information on "how to travel" to Ghent. We offer hotel rooms in all price categories. As hotel capacity is limited and an increasing number of visitors is expected, we strongly advise you to book in time !

How to book a room :
Please note: We charge a handling fee of Euro 18,00 per booking/room (not per night !). We require full prepayment.
1. Make your hotel choice on our website and make your booking by clicking on "Book Hotel".
2. Make sure you give a 1st hotel choice and a 2nd hotel choice, in case the hotel of your 1st choice is fully booked.
3. Your booking will be confirmed by email to the email address in your booking form.
4. 10 weeks before arrival you will receive an invoice for the total amount due.
5. The payment is then immediately due and has to be in our account no later then 8 weeks before arrival.
6. If you want to pay by credit card, please indicate "credit card" in the remarks field !
7. 2 weeks before the event, you will receive a voucher for your booking, provided full payment is received. This voucher will contain information such as, address of the hotel and information on public transportation.
8. You will then have full credit at the hotel for room, breakfast and taxes. Extras have to be paid at the hotel.

Handling fee : We charge a non-refundable handling fee of Euro. 18,00 per booking / room.
Payment : Rooms have to be fully prepaid 2 months before arrival. You will automatically receive an invoice. If you prefer to pay by credit card this is possible, but a service charge of 3% will be added to the total amount. We will send you a credit card statement to fill out in order to process the credit card payment.
No-show : The majority of the hotels only charge the first night in case of no-show. If a hotel has a different no-show policy, this is mentioned in the hotel description below.

The Ghent River Hotel is situated on the right bank of the Leie and can also be reached by boat. The hotel consists of 2 buildings a renaissance house (dated 1518) and a rice-mill. After this the building was also used as a cotton spinning-mill (1873), a warehouse (1879) and a steam actuated bakery (1892). Some mementos of these periods can still be found in the hotel. The Monasterium Poortackere used to be an ancient monastery, hidden away from the busy centre. The monastery dates from 1278 and is renovated into a hotel without losing the neo-gothic architectural style. The hotel has 60 rooms. Payments : * Bookings have to be fully prepaid 8 weeks before arrival. * 10 weeks before arrival you will receive an invoice for the total amount due. * The payment is then immediately due and has to be in our account no later then 8 weeks before arrival. * Payments can be made by bank or by credit card. In case of credit card payments, an extra service charge of 3% is applicable. * In case payments are not received in time, A-Travel reserves the right to cancel your booking ! * Holidays or absence of the person in charge are no valid excuse for late payments.
Vouchers : * Bookings will be individually confirmed by email. * The hotel voucher will be sent to you about 2 weeks before arrival, provided full payment is received. * You will then have full credit at the hotel for room, breakfast and taxes. Extras have to be paid at the hotel.
Cancellation & Changes policy : * All requests, changes or cancellations have to be received in writing in order to prevent confusion. * Cancellation policy: In all cases the handling fee is non-refundable. Penalties at the hotel : Up to 8 weeks prior to arrival: no hotel costs but handling fee is non-refundable. From 8 weeks to 6 weeks prior to arrival : 25 % of the hotel costs. From 6 weeks to 4 weeks : 50% of the hotel costs. From 4 weeks to 2 weeks : 75% of the hotel costs. From 2 weeks : 100% of the hotel costs. * A-Travel allows one change per room without penalty (in case the hotel conditions allow this !). If the number of changes exceeds an acceptable level, we are entitled to charge costs per change of Euro 10,00. This will be decided per case. In case of a group booking, we advise you to collect all details of the group members and send them to us in one time. * Refunds have to be applied for in writing and will be settled after the conference, less administrative charges Euro 20,00.
No-show : * In case of no-show, the hotel is entitled to charge costs. Most hotels charge the first night, but some hotels charge the full stay. In case they charge more then 1 night, this will be mentioned in the hotel descriptions in the hotel offer. * In case of no-show your room will automatically be released !! Following nights will be cancelled. * In case you are suddenly unable to travel, contact A-Travel as soon as possible. However, during the last 3 days prior to arrival, please contact the hotel directly. The phone number is indicated on the voucher we will send you 2 weeks prior to arrival. If you do not inform the hotel about a change in arrival date, your room might be gone !
