Airport area for hotels !!
Amsterdam is a small city and the airport is very close to downtown Amsterdam ! The hotel capacity in downtown Amsterdam is limited and the airport is a very good alternative. There is a direct train from Amsterdam Airport to RAI train-station that takes only 10 minutes. So no long journeys ! Staying in the airport area is an option you should consider, as prices and availability are better!

GENERAL CONDITIONS:
GROUPS BOOKINGS: Groups will be confirmed per group contract. The contract has to be signed and send back to us within 3 days, otherwise the rooms will be released. For group bookings we need 1 central contact person / coordinator, who is in charge of all details of the group members. All individual hotel vouchers will be send via email to this contact person / coordinator. If you provide personal email adresses of your group members, we can also send the voucher to the individual group members.
ROOMING LIST: Should be received by us 3 weeks before the conference.
PAYMENTS: All rooms have to be fully prepaid (see conditions below). For credit card payments we charge an extra 5% charge.
REFUNDS: In case the final invoice shows a balance in your favour, we will transfer the amount to your bank account after the conference and less administrative charges Euro. 20,00.
EXTRA SERVICES: In case you need any assistance in the organisation of a social program during your stay in Amsterdam, please contact us. We can arrange transfers, tours, restaurant reservations, social events, canal cruises, etc. We will be pleased to help you.
TERMS AND CONDITIONS FOR CONFERENCES:
During large conferences most hotels apply very strict Terms and Conditions. We need to receive the signed contract per fax within 3 days after receipt. Deposit conditions can not be altered. In case deposits are not received in time into our bank account, we are entitled to release your rooms. Holidays or absence of the person in charge are no valid excuse for late payments. To prevent confusion we need to receive a copy of the bank transmission. During large conferences a minimum stay is usually required. In case not all room nights are used, these nights will probably still be charged (so called "empty nights"). Please inform us as soon as possible about any changes, in writing.
CANCELLATION COSTS (hotel costs & A-Travel costs)
The following conditions are based on the "Dutch Standard Terms and Conditions for Hotels and hospitality industry" (STCH - UVH).
CANCELLATION CONDITIONS
· Up to 3 months prior to arrival: no hotel costs, but see below for A-Travel costs
· 3 to 2 months prior to arrival : 20 % of the total costs
· 2 months to 1 month prior to arrival : 40% of the total costs
· 30 days to 15 days prior to arrival : 65% of the total costs
· 14 days to 8 days prior to arrival : 90% of the total costs
· From 7 days prior to arrival : 100% of the total costs
CANCELLATION OF INDIVIDUALS (rooms or nights)
As mentioned above, cancellation of rooms or room nights, are usually quit difficult. Changes and cancellations have to received by us in writing. Our handling fee is non-refundable ! See below for A-Travel costs of cancelled room nights.
NO SHOWS
During large conferences most hotels charge the full stay in case of no-show. Please inform us about any last-minute cancellations as soon as possible.
A-TRAVEL COSTS for cancellations
Apart from any charges from the hotel(s) (see above mentioned cancellation conditions), A-Travel charges a penalty for cancellations:
· Up to 3 months prior to arrival: Groups (10 rooms and more): our handling fee is non-refundable, with a minimum of Euro 140,00 (reservation / administrative costs) + Euro 20,00 bank costs in case of refunds. Individuals : the handling fee is non- refundable + Euro 20,00 bank costs in case of refunds.
PAYMENT CONDITIONS
Upon confirmation of your booking a Good Faith Deposit of 10% is required, within 10 days or per invoice payment date. To prevent confusion we require a copy of the bank transmission. If payments are not received in time into our bank account, A-Travel is entitled to release your rooms and offer them to other clients.
3 months prior to arrival we need to receive 50% of the total amount. The calculation is based on the number of people/rooms known to us at that point.
1 month prior to arrival we need to receive 100% of the total amount.
Any open balance should be in our account 2 weeks after receipt of our invoice. We will transfer a balance in your favour as soon as possible (less administrative costs).
